Data Integrity

eDots (“Company,” “we,” “us,” or “our”) is committed to protecting your privacy and safeguarding personal information. This Privacy Policy describes what information we collect from businesses and their representatives using the eDots B2B platform, how we use and share that information, and the choices and rights you have. We aim to maintain a privacy standard comparable to industry leaders like Stripe and Shopify, ensuring compliance with applicable U.S. laws and financial industry requirements.

1. Information We Collect

We only collect the minimum information necessary to operate our B2B network platform and provide services to you. This typically includes:

  • Business and Contact Information: Company name, business address, contact person’s name, job title, email address, and phone number. This information is collected when you register an account or do business on eDots (e.g. placing or receiving orders).
  • Shipping and Billing Information: The shipping and billing addresses for orders, as well as the names of recipients (such as a shipping contact name). This is used to ensure products are delivered to the right location.
  • Order Details: Information related to orders placed or fulfilled through eDots, such as products or materials ordered, quantities, dates and transaction amounts.
  • Payment Information: We use Stripe to process payments, so financial information like credit/debit card numbers or bank account details are collected directly by Stripe on our behalf. We do not store full payment card details on our servers – Stripe handles this securely in compliance with PCI-DSS standards. (See the “Third-Party Services” section below for more on Stripe.)
  • Technical and Usage Data: Like most websites, we collect some data automatically when you use eDots. This may include your device type, browser type, IP address, pages or products viewed, and other usage details. We may use cookies or similar technologies to remember your preferences and analyze site usage (e.g. for analytics). This technical data helps us improve our platform’s functionality and security.

Importantly, eDots is a business-focused platform. It is not intended for personal, family, or household use, and is not directed to children under 13. We do not knowingly collect personal information from anyone under the age of 13, and individuals under 18 should only use eDots with involvement of a parent or guardian

2. How We Use Your Information

We use the collected information strictly for legitimate business purposes in operating and improving the eDots platform. These uses include:

  • Providing and Improving Our Services: We use contact, shipping, and order information to facilitate B2B transactions on our platform – for example, to allow suppliers and retailers to connect, to process and fulfill orders (including arranging shipping and deliveries), and to send order confirmations or invoices. We may also use data to personalize your experience and improve our platform’s functionality and product offerings.
  • Communication: We use your email and other contact info to communicate with you about your account, orders, shipments, updates to our platform, and customer support inquiries. For instance, we may send notifications about order status, platform changes, or respond to support requests. We do not send unsolicited marketing emails unrelated to our B2B services unless you have opted in.
  • Payments and Transactions: We use Stripe (our payment processor) to charge for orders or subscription fees, and we use your provided billing information to ensure payments are processed. Payment details are used only as needed to complete transactions or issue refunds, and are handled securely (see Stripe Financial Connections below for cases involving bank account payments).
  • Accounting and Record-Keeping: We may input your transaction information (e.g. invoices, amounts, and business contact details) into Intuit QuickBooks for bookkeeping and financial record maintenance. This helps us manage our finances, send invoices, and comply with financial reporting obligations.
  • Security and Fraud Prevention: We may use technical and personal information to monitor for fraudulent or suspicious activities, verify identities, and enforce our Terms of Service. For example, we might screen orders or account registrations for signs of risk or fraud, and use device/IP information to prevent abuse. This is important for protecting the integrity of the eDots platform and our users.
  • Legal Compliance: We may process and retain personal data as needed to comply with applicable laws and regulations, such as maintaining transaction records for tax and auditing purposes, or responding to verified law enforcement requests.

We will not use your personal information for completely new, unrelated purposes without updating this Privacy Policy or obtaining your consent. We do not use automated decision-making or profiling in a way that produces legal effects or similarly significant effects on individuals (eDots primarily facilitates B2B transactions, and any automated processes are only used for things like fraud screening which do not substitute for human review).

3. How We Share Information

eDots does not sell or rent your personal information to third parties for their own commercial use. We share information only in the following circumstances, and always with confidentiality and security in mind:

  • Service Providers (Processors): We share necessary information with trusted third-party services that help us run our platform, only to the extent needed for them to perform functions on our behalf. These include:
    • Stripe (Payments): We use Stripe to process payments securely, including credit card and ACH/bank payments. Stripe will handle your payment details (such as card numbers or bank info) directly, and may store and process this data outside of our platform. You can read more about Stripe’s privacy practices here: stripe.com/privacy . We may share your name, email, billing address, and transaction amount with Stripe to facilitate payments or refunds.
    • Shopify (E-commerce Platform): We use Shopify to power certain e-commerce functions such as inventory management and order processing. This means order information (including Personal Information like your name, address, email, and order details) may be stored in our Shopify system.     • Intuit QuickBooks (Accounting): We use QuickBooks for accounting and bookkeeping services. We may input contact information and transaction details into QuickBooks to manage invoices, record payments, and maintain financial records. You can view Intuit’s privacy policy at intuit.com/privacy .
    • Google Cloud Platform (Hosting & IT Infrastructure): eDots is hosted on Google Cloud servers. This means personal data you provide is stored and processed on Google’s secure cloud infrastructure. Google acts as our IT infrastructure provider (not using your data for its own purposes).     We ensure that these service providers are bound by appropriate data protection obligations. They are only permitted to use your data for the services they perform for us, in line with this Privacy Policy.

  • Business Partners (Suppliers/Buyers): In the context of a transaction on eDots, we will share relevant information between the parties involved. For example, if a retailer places an order with a supplier through eDots, we will provide the supplier with the shipping name and address (and any necessary contact info) to fulfill that order. Similarly, a retailer may receive certain supplier information (like the supplier’s business name and contact details) for order coordination. We do not disclose any more personal data than necessary for order fulfillment – generally just the information needed to ship products and communicate about the order. Please note that any data you exchange directly with a trading partner outside of the eDots platform is not covered by our Policy (for instance, if you independently share additional information with your supplier/retailer).
  • Legal Requirements and Protection: We may disclose personal information if required to do so by law or legal process (for example, in response to a subpoena, court order, or regulatory demand). We may also share information when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request. For instance, providing information to law enforcement to prevent or address wrongdoing, or disclosing billing information to resolve chargebacks.
  • Business Transfers: If eDots is involved in a merger, acquisition, financing due diligence, restructuring, bankruptcy, or sale of company assets, your information may be transferred as part of that transaction. We would ensure any successor entity honors the commitments made in this Privacy Policy regarding your personal data.
  • With Consent: If we ever need to share your information for any other purpose not covered above, we will obtain your consent (for example, if you ask us to share your information with a third-party integrator or service, or opt-in to optional data sharing).

Again, we do not sell personal information and we do not share your data with third-party advertisers for their independent marketing purposes. All sharing is only to support the uses described in this Policy or as required by law.

4. Stripe Financial Connections (Linking Bank Accounts)

In some cases, eDots may allow you to link a bank account to our platform to enable certain payment or financial features. For example, a retailer may link their bank for making ACH payments to suppliers, or a supplier might link a bank account to receive payouts. When you choose to connect your bank account, we utilize Stripe Financial Connections, a secure service provided by Stripe, to facilitate this link.

What this means: When you go through the bank linking process, you will be redirected to a Stripe interface to authenticate your bank account. Stripe Financial Connections will then securely access certain information from your bank with your explicit consent and share it with eDots for the purposes you authorize. The types of data we may receive through Stripe include:

  • Account Verification Data: Confirmation that you are the account owner and that the bank account is valid and able to make or receive payments. This helps us verify your account details (for example, to prevent fraud or ensure payments go to the correct account).
  • Financial Account Information: In some cases and only if relevant to the service, we might receive your current account balance or a limited transaction history from the linked account. (For instance, verifying that sufficient funds are available for a large ACH payment, or assessing eligibility for net terms or financial services you opt into.) We will only receive this kind of information if you explicitly authorize its retrieval.
  • Payment Authorizations: The necessary information to initiate payments or debits you have approved – for example, a token or ID that allows us to charge your linked bank account for an order, or to deposit funds into it (for supplier payouts).

All sensitive financial data access is handled by Stripe. eDots itself never sees your bank login credentials or raw bank username/password – those are entered through Stripe’s secure portal and are not shared with us. Stripe is a PCI-DSS compliant service provider and uses strong encryption and security protocols to protect your financial information. User Control: Connecting a bank account via Stripe is completely optional and only done at your direction. You can withdraw your consent and disconnect your linked bank account at any time. If you have linked a bank account on eDots and wish to remove that connection, you can do so through your eDots account settings or by contacting us for assistance. Once disconnected, eDots (and Stripe) will no longer be able to access new financial data from that account. (Note: disconnecting will not automatically erase historical data already received; however, we will continue to protect any such data per this Policy, and you can also request deletion as described in the Your Rights section.)

Using Stripe Financial Connections allows us to provide streamlined payment options (like quick bank payments) while keeping your data secure. We will use any financial information obtained via this service strictly for the purposes that you have authorized – for example, to complete a payment you’ve requested or to assess a transaction – and not for any other purpose.
